  • payment status;

  • transaction identifiers.

Payment-card information is generally processed by payment providers such as Stripe. KeyCourse does not need to receive or store your complete payment-card number in order to process ordinary online payments.

2.4 Communications

If you contact us through email, website forms, social media, messaging services, chat tools, or other communication channels, we may collect and retain the information contained in those communications.

2.5 Technical and Usage Information

When you visit our website or use our online services, we or our technology providers may collect information such as:

  • IP address;
  • browser and device information;
  • operating system;

  • approximate geographic information;
  • website interactions;
  • session information; and
  • cookie and similar technology identifiers.

For more information about cookies and tracking technologies, please see our Cookie Policy.

3. How We Collect Information

  • directly from you;
  • when you create a KeyCourse account;
  • when you purchase or enroll in a product;
  • when you complete a quiz, assessment, or form;

  • when you subscribe to marketing communications;
  • when you communicate with us;
  • through cookies and similar technologies; and
  • through service providers that support our website, payments, courses, communications, and business operations.

4. Why We Use Personal Information

We collect, use, and disclose personal information only for purposes that are reasonably connected to our business and educational services.

These purposes may include:

  • creating and managing user accounts;
  • providing purchased courses, lessons, and materials;
  • delivering free resources requested by users;
  • processing purchases and payments;
  • issuing invoices, receipts, and tax documentation;
  • scheduling lessons and live sessions;
  • providing customer support;
  • tracking course progress and participation;
  • providing assessments, quizzes, and learning feedback;
  • communicating about an account or purchased service;
  • preventing fraud, misuse, and unauthorized access;
  • maintaining and improving our website and courses;
  • understanding how users interact with our services;
  • measuring advertising and marketing performance;
  • sending marketing communications where we have an appropriate legal basis or your consent;
  • maintaining business, accounting, and tax records;
  • complying with legal obligations; and
  • protecting our legal rights and those of our users.

5. Consent

Where consent is required, we seek consent appropriate to the nature and sensitivity of the information and the purpose for which it is being collected, used, or disclosed.

Some uses of information are necessary to provide a service you request. For example, we need certain account and transaction information to provide a course that you purchase.

Other uses are optional. Where appropriate, we provide a separate choice rather than requiring consent as a condition of receiving an unrelated product or service.

Providing your email address to receive a requested free resource does not, by itself, mean that you have agreed to receive ongoing promotional email from KeyCourse.

You may withdraw consent to an optional use of your personal information, subject to legal or contractual restrictions and reasonable notice.

Withdrawal of consent may affect our ability to provide a service where the information is necessary to provide that service.

6. Marketing Communications

If you choose to receive KeyCourse marketing communications, we may send information such as:

  • English-learning tips;
  • CELPIP preparation content;
  • course announcements;
  • new product information;
  • special offers or promotions; and
  • other KeyCourse educational or promotional communications.

Where required, marketing consent is collected separately from the information needed to create an account, deliver a free resource, or process a purchase.

We may record information related to your marketing consent, including when, where, and how consent was provided and the consent wording or source associated with that choice.

You may unsubscribe from marketing email at any time using the unsubscribe option contained in our emails or by contacting us.

Unsubscribing from marketing does not prevent us from sending messages that are necessary to administer your account, transaction, course, booking, or another service you requested.

7. Cookies, Analytics and Advertising

KeyCourse and our service providers may use cookies, pixels, analytics technologies, and similar tools.

Depending on your consent choices and the technologies enabled on our website, these tools may be used to:

  • operate essential website features;
  • remember preferences;
  • understand website usage;
  • measure traffic and conversions;
  • measure advertising performance; and
  • support relevant advertising and marketing activities.

Technologies used on our website may include services provided by companies such as Google and Meta.

Where our cookie-management system provides choices for non-essential technologies, those technologies are controlled according to the available consent settings.

For more information, please review our Cookie Policy.

8. Service Providers and Third Parties

KeyCourse uses third-party service providers to operate our website, deliver education, process payments, communicate with students, automate administrative processes, and operate our business.

Depending on the service you use, providers may include:

  • LearnWorlds — website, user accounts, learning platform, course delivery, and related functionality;
  • Stripe — payment processing and transaction services;
  • Quaderno — invoicing and tax-related transaction processing;
  • Mailchimp — email marketing and subscriber management;
  • ManyChat — automated messaging, lead communication, and consent collection where used;
  • Zapier — automation and transfer of information between connected business systems;
  • Calendly — appointment and lesson scheduling where used;
  • Microsoft Teams and related Microsoft services — live lessons, meetings, recordings, and collaboration where used;
  • Google services — analytics and related website functionality where enabled; and
  • Meta services — advertising measurement, social-media functionality, and related marketing tools where enabled.

We may change or add service providers as our business and technology change. We expect providers handling personal information on our behalf to use appropriate safeguards and to process information for authorized purposes.

We do not sell lists of our students' personal information to third parties.

9. Processing Outside Canada

Some of the service providers used by KeyCourse operate or store information outside Prince Edward Island or outside Canada.

As a result, personal information may be transferred to, stored in, or processed in other jurisdictions, including the United States or other countries in which our service providers operate.

While information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement authorities, or other government authorities where permitted by applicable law.

KeyCourse remains responsible for personal information under our control when it is transferred to service providers for processing.

10. Live Lessons and Recordings

Some KeyCourse group classes, workshops, or other live sessions may be recorded.

Depending on how a participant joins and participates, a recording may contain:

  • the participant's display name;
  • voice;
  • video image;
  • chat messages;
  • questions or comments; and
  • other contributions made during the session.

Where sessions are recorded, participants will be informed through the course information, platform, session notice, or another appropriate method.

Recordings made available to students are intended for educational use within the applicable course or program and may be subject to a limited access period.

11. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate legal, accounting, tax, security, dispute-resolution, and business-record requirements.

Different types of information may therefore be retained for different periods.

For example:

  • account information may be retained while an account remains active and for an appropriate period afterward;
  • transaction and accounting records may be retained for the period required for tax, accounting, and legal purposes;
  • marketing-consent and unsubscribe records may be retained as evidence of consent choices and compliance;
  • course activity may be retained while required to provide or administer the applicable service; and
  • information may be retained longer where reasonably necessary to resolve a dispute, prevent fraud, or comply with law.

When personal information is no longer required, we take reasonable steps to delete, anonymize, or otherwise securely dispose of it, subject to technical and legal limitations.

12. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the personal information we handle.

These measures may include:

  • restricted access to business systems;
  • password and account-access controls;
  • use of established technology service providers;
  • secure payment processing;
  • access controls based on operational need; and
  • other reasonable security practices.

No internet-based service or information-storage system can be guaranteed to be completely secure.

If a privacy or security incident occurs, we will investigate and take steps required by applicable law.

13. Accessing or Correcting Your Information

You may contact us to request access to personal information that KeyCourse holds about you or to request correction of information that is inaccurate or incomplete.

We may need to verify your identity before responding to a request.

In some circumstances, access may be limited or refused where permitted or required by law. If that occurs, we will explain the reason where legally permitted.

We will respond to privacy requests within the time required by applicable law.

14. Withdrawal of Consent

Where KeyCourse relies on consent, you may withdraw that consent subject to applicable legal or contractual restrictions and reasonable notice.

For marketing email, the easiest method is normally to use the unsubscribe option contained in the message.

You may also contact us regarding another consent choice.

Some information is necessary to administer purchases, maintain legally required records, prevent fraud, or provide requested services and therefore cannot always be deleted immediately upon withdrawal of optional consent.

15. Children and Minors

Our online services are primarily designed for people capable of providing meaningful consent for their own use of those services.

Where a person is unable to provide meaningful consent because of age or another relevant circumstance, appropriate consent from a parent or legal guardian may be required.

If you believe that personal information relating to a child has been provided to us without appropriate authorization, please contact us.

16. Links and Third-Party Services

Our website or communications may contain links to websites, applications, social-media platforms, or services operated by third parties.

When you leave a KeyCourse-controlled service and interact directly with another organization, that organization's privacy practices may apply.

We encourage you to review the privacy information provided by third-party services you choose to use.

17. Disclosure Required by Law or for Protection

We may disclose personal information where permitted or required by applicable law, including where reasonably necessary to:

  • comply with a lawful request or legal process;
  • respond to regulatory or governmental requirements;
  • investigate fraud or security incidents;
  • protect the rights or safety of KeyCourse or another person;
  • enforce our agreements; or
  • establish, exercise, or defend legal claims.

18. Business Changes

If KeyCourse is involved in a merger, financing, restructuring, sale of assets, corporate reorganization, or similar business transaction, personal information may be disclosed where reasonably necessary for that transaction and as permitted by applicable law.

Appropriate confidentiality and privacy protections will be used where required.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, service providers, business practices, or legal obligations.

The current version will be published on this page and will show the date of the most recent update.

Where a material change requires additional notice or consent, we will provide that notice or seek consent as appropriate.
